Lead Capture

Automatically collect visitor contact information — name, email, and phone number — during a conversation. UCrew's AI detects the right moment to ask and stores the lead for you.

What Lead Capture Does

Detects when a visitor is interested (keyword match or AI intent detection)
Asks for their name, email, and/or phone number naturally in the chat
Saves the contact details to your UCrew leads list
Optionally sends the lead to your CRM or webhook in real time

How to Set It Up

Go to Your Agent's Actions Tab

Open your UCrew Dashboard → click your agent → click the Actions tab at the top.

Create a New Lead Capture Action

Click New Action, then choose Lead Capture from the action types.

Each agent can have multiple Lead Capture actions — for example, one for general inquiries and another triggered only by visitors asking about pricing.

Choose What to Collect

Toggle on the fields you want to collect:

  • Name — First or full name
  • Email Address — Required if you plan to do email follow-ups
  • Phone Number — Useful if you want to reach them on WhatsApp

Only collect what you actually need. Asking for too many fields at once reduces completion rates. Email alone is often enough.

Set a Trigger

Choose when this action fires:

Keyword Match

The action fires when the visitor's message contains specific words. Enter the words separated by commas — for example:contact, reach you, talk to someone, get in touch

AI Intent Detection

The AI reads the intent of the message and decides when to trigger. More accurate but relies on the AI's judgment. Best for natural conversation flows where exact keywords won't always appear.

If you use keyword matching, make sure the keywords don't accidentally trigger for common words. Test it after setup.

Write a Success Message

This is what the bot says after successfully collecting the contact details. Keep it friendly and set expectations:

"Thanks! We've got your details and someone from the team will reach out within 24 hours."

Mention how soon they'll hear back. "We'll contact you shortly" is vague — "within 24 hours" builds trust.

Set a Webhook (Optional)

If you want leads sent to your CRM, Google Sheets, or any other tool in real time, paste in a webhook URL.

What gets sent

UCrew POSTs a JSON payload with the visitor's collected fields (name, email, phone), the conversation ID, and a timestamp.

Don't have a webhook? Services like Zapier, Make (Integromat), or n8n let you receive webhooks and forward them anywhere — no coding needed.

Save and Test

Click Save Action. Then open Test Chatin your dashboard and type a message that should trigger it — like "I'd like to get in touch".The bot should ask for your name (or whichever fields you enabled).

Check your Leads list (in the dashboard sidebar) after testing — the contact details should appear there within seconds.

Common Questions

Where do I see the collected leads?

In your UCrew Dashboard, click Leads in the left sidebar. Each lead shows the name, email, phone, the conversation it came from, and the date collected.

Can I export my leads?

Yes — in the Leads section, click Export to download a CSV file with all your leads.

What if the visitor refuses to share their info?

The bot won't push — if the visitor declines or doesn't respond with contact info, the action ends gracefully and the conversation continues normally.

Can I have multiple lead capture actions on the same agent?

Yes. Each action can have different triggers and collect different fields. For example, one for pricing inquiries (ask for email only) and another for support requests (ask for email + phone).
